Upgrade your Reception Experience with a Visitor…

Every company worth its salt should treasure a steady stream of job applicants, clients, and partners—people who see its workplace as worthy of their time and money.

You only have one chance to make a first impression on them.

A first impression is the cornerstone to a business relationship. It is the first encounter around which the rest of your encounters will be organized. Before associating with your company, these people would want their confidence in you rewarded. And your company can do that by showing its mastery over the immediate environment.

Where does it all start?

At the reception area.

The Ideal Reception Area

Imagine this scenario.

After weeks of calls, samples, and ideas, a prospective client has finally deigned to set an appointment for a pitch meeting at your workplace. Your team is dressed in their best formal attire, you have already rehearsed the pitch presentation in clipped monologues twice over, and cappuccino and snacks are ready at a moment’s notice.

  1. A welcoming prelude: As soon as the appointment is set on your visitor management system, the client’s smartphone receives an email/text notifying him that he will have to add his personal details on arrival at a self-service kiosk. He is also presented with a QR code and a GPS location of your workplace for directions, when the time comes.
  2. Express data entry: A few hours later, when he enters your reception area’s outer doors, he will find a self-service kiosk which scans his QR code. Once the code is authenticated, his host (you) will be notified of his arrival. He will then enter in some basic personal details for the convenience of the company. This data will be protected through encryption, two-factor authentication, and data privacy law.
  3. Double check for safety: Then, if his details match the ones you know to be true, you will accept his entry on the dashboard, and he will be processed through the inner doors. Should you need further scrutiny, such as soft passes, health screening, and facial recognition, you can integrate that technology with your visitor management system, just before the inner doors.

All of this can take less than 5 minutes!

If this is his second visit, he won’t even have to enter his data, as that will already be on the system.

This is what a visitor management system is capable of. It modernizes the reception experience, making visitors feel like they are part of a far more efficient future. They are made aware of your high safety standards, brand power, and tech-savviness. And in that knowledge, your reputation can only rise.
